How to Use Google Calendar for Business
Google Workspace Calendar has powerful features not only for individual schedule management but also for coordinating team-wide schedules. From 2025 onwards, integration with Gemini AI has enabled natural language event creation and consolidated management of multiple calendars.
Noteworthy New Features for 2025-2026
1. Create Events with Natural Language (Gemini Integration)
Simply by typing "Sales meeting for 2 hours next Tuesday at 3 PM" into the Gemini app or Google Calendar search bar, the AI analyzes the content and automatically creates the event. Even with vague expressions like "Lunch with Mr. Tanaka tomorrow afternoon," it refers to past event patterns and suggests an event from 12:00 to 13:00.
2. Cross-Calendar Management (February 2026~)
With the February 2026 update, shared calendars, secondary calendars, and personal calendars can now be managed across Gemini. For questions like "Tell me my free time this week" or "Which days this week have many meetings?", answers referencing multiple calendars can be obtained.
3. Automatic Scheduling of Tasks and Events
When you provide Gemini with a To-Do list, it checks your calendar's available time slots and suggests placing each task in an appropriate time. Optimization is also possible, such as placing high-priority tasks in the morning and tasks requiring concentration during specific afternoon hours.
4. Automatic Google Meet URL Generation + Calendar Registration
If you instruct Gemini, "Add a team meeting to the calendar for 1 hour tomorrow at 10 AM and also provide the Meet URL," it will simultaneously create the event and issue the Meet URL.

How to Check Other Members' Schedules
- Click the "+" next to "Other users' calendars" in the bottom left of the calendar.
- Enter the email address of the member whose schedule you want to check.
- Their free time will be displayed in color.
Booking Meeting Rooms
In Google Workspace, you can register meeting rooms as resources.
- Register meeting rooms as resources in the Admin console (admin.google.com).
- When creating an event, search for and add the meeting room name from "Add guests."
- The meeting room's availability is automatically checked, preventing double bookings.
Automatic Free Time Search
If you open the "Find a time" tab after adding all participants, it will automatically search for time slots when everyone can attend. This eliminates the need for coordination emails even for meetings with 10 people.
Calendar Color-Coding Management
- Create calendars for each project and color-code them.
- Subscribe to department calendars to grasp overall activities.
- Add a holiday calendar to automatically display public holidays.

Coordinating Appointments with External Parties: Appointment Slots Feature
Using the "Appointment slots" feature, you can share your available time slots via a public URL. The other party simply accesses the URL and chooses a desired time, and the event is automatically entered. It can be used as a free alternative to scheduling tools.
Setting Up Recurring Events
Regular meetings like weekly MTGs and monthly reports can be managed collectively with the "Repeat" setting. Setting it to "Every Tuesday at 10:00" saves the effort of creating it each time. If you want to change only a specific instance, you can select "Edit this event only."
Customizing Notification Settings
- Change default notifications (e.g., 10 minutes before → 1 hour before).
- Distinguish between email notifications and pop-up notifications.
- Set multiple notifications for important events (e.g., email the day before + pop-up on the day).
