When choosing a Google Workspace plan, many people end up comparing three options: Business Starter, Business Standard, and Business Plus. At first, I had a fairly simple understanding of the differences: Starter is the affordable plan, Standard gives you more storage, and Plus is mainly for businesses that need stronger security and administrative controls.
One of the most obvious differences between Business Starter and Business Standard is storage. Business Starter includes 30 GB of pooled storage per user, while Business Standard includes 2 TB per user. If you only look at those numbers, it is easy to think: "If 30 GB is enough for me, why would I need Business Standard?"
But after using Google Workspace more extensively, I realized that Business Standard is much more than a storage upgrade. Moving from Starter to Standard also upgrades the capabilities or usage limits of several Google services, including Gemini, Gemini Notebook (formerly NotebookLM), Google Docs, Google Sheets, Google Drive, Google Meet, Google Chat, Google Calendar, Gmail, and Google Vids.
What surprised me most was Gemini Notebook. With Business Standard, a single notebook can contain up to 300 sources, compared with just 50 sources on Business Starter. In other words, simply having a Business Standard subscription gives you access to a much more capable version of Gemini Notebook. Google classifies Business Starter as having standard access, while Business Standard and Business Plus receive higher levels of access.
These differences are surprisingly easy to miss if you only glance at the Google Workspace pricing page. So in this article, I'll break down which Google services actually get better when you move from Business Starter to Business Standard, and which services remain largely the same. Even if you already subscribe to Business Standard, you may discover features you did not realize were included in your plan.
In the past, many Gemini features for Google Workspace required separate add-ons such as Gemini Business. Today, many Gemini features are included directly with Business Standard and Business Plus. The information below is based on Google's official documentation as of August 2026. AI features and usage limits change frequently, so always check Google's latest plan comparison page for current details.
Business Starter vs Business Standard: The Basic Differences
Let's start with the big picture. Google Workspace Business plans are generally divided into three tiers.
| Plan | Storage | General Positioning |
|---|---|---|
| Business Starter | 30 GB per user | Core Workspace features |
| Business Standard | 2 TB per user | More AI, collaboration and meeting features |
| Business Plus | 5 TB per user | More advanced security and administration |
Google Workspace Business editions are generally designed for organizations with up to 300 users (see Google's official edition comparison page). The jump from 30 GB to 2 TB alone means Business Standard gives you roughly 66 times more storage. But storage is not the main point of this article. The more interesting difference is that upgrading to Business Standard can also change what you can do inside the same Google services.
Services That Improve Significantly with Business Standard
Here is a quick overview before we look at each service individually.
| Service | Business Starter | Business Standard |
|---|---|---|
| Gemini Notebook (NotebookLM) | Standard access | Higher-level access |
| Gemini app | Standard access | Pro-level access |
| Google Docs | Limited AI features | More Gemini features |
| Google Sheets | Limited AI features | AI functions and more |
| Google Drive | Core features | Gemini and additional AI features |
| Google Meet | Up to 100 participants | Up to 150 + recording and more |
| Google Chat | Core features | Gemini, summaries and translation |
| Google Calendar | Core features | Additional scheduling assistance |
| Gmail | Gemini included | Additional productivity features |
| Google Vids | Available | Higher AI generation limits |
| Storage | 30 GB | 2 TB |
Now let's take a closer look.
1. Gemini Notebook (NotebookLM) Gets a Major Upgrade with Business Standard
This was the biggest surprise for me. The service previously known as NotebookLM is now also referred to in Google's documentation as Gemini Notebook.
Gemini Notebook lets you upload or connect your own source material — such as PDFs, websites and Google Docs — and then use AI to ask questions, summarize information, generate audio overviews and more. It is particularly useful for business research and internal knowledge management.
You could add internal manuals, product documentation, meeting notes, contracts, technical documents, competitor research, websites, YouTube videos, and PDF files, then ask questions such as "Summarize everything these sources say about this topic."
The difference between Starter and Standard is substantial.
Gemini Notebook Limits: Business Starter vs Standard
As of August 2026, the main limits are:
| Feature | Starter | Standard |
|---|---|---|
| Notebooks | 100 | 500 |
| Sources per notebook | 50 | 300 |
| Chat queries | 50/day | 500/day |
| Audio Overviews | 3/day | 20/day |
| Video Overviews | 3/day | 20/day |
| Reports | 10/day | 100/day |
| Deep Research | 10/month | 20/day |
Business Starter receives standard access, while Business Standard and Business Plus receive higher-level access (see "Upgrade Gemini Notebook" in the official Gemini Notebook Help).
The 50-to-300 source increase is especially important. Going from 50 to 300 sources means six times as many sources per notebook — a difference that translates directly into how useful Gemini Notebook (NotebookLM) is for real business work.
Fifty sources may sound like plenty until you start using Gemini Notebook for real business information. For example, imagine adding 12 monthly reports, 20 product manuals, 50 meeting transcripts, 20 internal policy documents, 30 FAQ documents, and 100 historical proposals — you would exceed the Starter limit very quickly. With 300 sources, Gemini Notebook becomes much more practical as a serious internal research or knowledge-management tool. And it is not just the source limit: the number of notebooks increases from 100 to 500, and most daily AI usage limits increase substantially as well.
This is what makes the difference easy to overlook. You may subscribe to Google Workspace Business Standard, open Gemini Notebook, and simply start using it without realizing that your Workspace subscription has already given you higher usage limits. If you already have Business Standard, it is worth checking Gemini Notebook and seeing what is available to your account.
2. The Gemini App Is Also Much More Capable on Standard
Business Starter users can use Gemini too. That can make it seem as though there is not much difference between Starter and Standard. In reality, the available models, usage limits and advanced capabilities can differ significantly (see "Compare Gemini for Google Workspace add-ons").
Business Standard provides higher levels of Gemini access than Business Starter. For example, Standard users can access higher limits for Pro models and advanced reasoning features. Another major difference is the context window: Business Starter has a context window of around 32,000 tokens, while Business Standard can support up to 1 million tokens in applicable Gemini experiences.
This becomes important when working with very long documents, large reports, multiple source files, large codebases, and detailed research materials. If you mainly use Gemini for short questions, you may not notice the difference very often. But for serious business research or large documents, it can be substantial.
3. Deep Research Is Far More Useful on Business Standard
If you use Gemini for research, the difference in Deep Research limits is another major factor. Business Starter provides relatively limited access, while Business Standard provides a much larger allowance, making Deep Research practical as an everyday business tool rather than something you only use occasionally.
Typical use cases include market research, competitor research, product comparisons, researching prospects before a sales call, investigating new services, collecting background information, and SEO research before writing an article.
With Starter, you may want to save Deep Research for your most important questions. With Standard, you can use it much more routinely.
4. Image and Video Generation Limits Are Higher Too
Gemini is no longer just a text-based AI assistant. Google now offers AI-powered image generation, image editing, video generation, and other media-generation features. Once again, Business Standard generally receives higher usage limits than Business Starter.
For businesses that regularly create marketing images, presentation graphics, social media content, concept visuals, and video assets, those higher limits can become another practical reason to choose Standard. This is especially important because the value of Standard is cumulative — you are not upgrading just one AI service, you are increasing access across multiple Google AI tools at the same time.
5. Google Docs Gets Much Deeper Gemini Integration
Google Docs itself is, of course, available with Business Starter. The difference is what Gemini can do inside Docs. Business Standard provides access to more Gemini-powered functionality, including a Gemini side panel, writing assistance, document summarization, image generation, audio-related creation tools, and video-related creation assistance.
That means you can work with AI directly inside the document you are editing — for example, "Summarize this document in three bullet points," "Rewrite this for an executive audience," or "Turn this document into the outline of a business proposal." This reduces the need to constantly copy text from Google Docs into a separate AI chat and then copy the result back. For people who spend a lot of time working in Google Docs, that integration can make a noticeable difference. See our guide to real-time collaboration in Google Docs for more.
6. Google Sheets Gets AI Functions
Google Sheets is another service where Business Standard becomes significantly more interesting. One of the standout features is AI functions. Business Standard and Business Plus provide access to AI-powered spreadsheet functionality that is not available at the same level on Starter.
Gemini can also help with creating and editing spreadsheets, generating tables, analyzing data, categorizing information, creating formulas, working with text inside cells, and identifying patterns.
AI can help with generating product descriptions, categorizing customer records, organizing free-text survey responses, extracting patterns from data, creating tables, and assisting with formulas. Tasks that previously required complicated formulas, manual processing or even Apps Script can sometimes be simplified with AI assistance.
7. Google Drive: The Difference Is Not Just 30 GB vs 2 TB
Storage is still one of the most obvious advantages of Business Standard: 30 GB on Starter versus 2 TB on Standard. That difference alone is substantial. But Drive itself also gains additional AI capabilities with Business Standard. Gemini can help users work with files stored in Drive, including analyzing and summarizing documents such as PDFs, and Google has also been expanding Gemini-powered organization and file-management features inside Drive.
So it is misleading to think of the upgrade as simply "Business Standard gives me more Drive storage." A more accurate description is "Business Standard gives me far more storage and more powerful ways to work with the information stored there." See our complete guide to Shared Drives for more.
8. Google Meet Gets Much More Than 50 Extra Participants
Business Starter supports meetings with up to 100 participants. Business Standard increases that to 150 participants. But the difference is not really about those extra 50 people. Standard also adds or enhances meeting recording, AI-generated meeting notes, studio sound, studio video, studio lighting, adaptive audio, AI-generated backgrounds, speech translation, and Gemini assistance inside Meet.
Automatic meeting notes are particularly useful. Instead of trying to participate in a meeting while manually taking notes, AI can help capture what happened. After the meeting, it becomes easier to review what was decided, who is responsible for what, and what needs to happen next. If Google Meet is an important part of your workflow, Standard offers much more than a larger participant limit.
See our guide to getting the most out of Google Meet for more.
9. Google Chat Also Gets Gemini Features
Google Chat itself is available with Starter. Business Standard adds more AI assistance, including a Gemini side panel, conversation summaries, summaries combining chats and files, and automatic translation.
If your company has active Chat spaces with large numbers of messages, this can be particularly useful. Instead of manually reading dozens or hundreds of messages, you may be able to ask "What did the team decide in this space yesterday?" That sounds like a small convenience, but it can save a surprising amount of time.
10. Gmail Is Already Quite Powerful on Business Starter
Gmail is a good example of a service where Starter is already quite capable. Business Starter users can access Gemini assistance, writing help, suggested replies, email thread summaries, and proofreading assistance.
So if Gmail is your main reason for using Google Workspace, you do not necessarily need Standard just to use Gemini. Business Standard does, however, add more advanced scheduling assistance, mail merge, and additional business integrations and productivity features. Mail merge can be particularly useful for organizations that need to send personalized bulk messages.
The important point is that not every Google service goes from "basic" to "AI-powered" when you upgrade. Some, like Gmail, are already quite capable on Starter.
11. Google Calendar Also Gets Additional Features
Basic Google Calendar functionality is available on Starter. With Standard, additional scheduling capabilities become available, including Gemini-assisted scheduling features. This can reduce the familiar back-and-forth of emails like "Are you available sometime next week?" and "How about Tuesday afternoon?" For sales teams, consultants and companies that schedule large numbers of meetings, even a relatively small improvement in scheduling can save time.
12. Google Vids Is Available on Starter Too
This is another area where it is important not to oversimplify the comparison. Google Vids is not exclusive to Business Standard — Starter users can use it too. The difference is primarily in how much AI-powered generation you can use, with Business Standard generally providing higher limits for AI video generation, AI avatars, and other generative media features.
So the distinction is not "Starter cannot use Google Vids." It is closer to "Standard lets you use the AI features inside Vids more extensively."
13. Google Cloud Search Is Available from Standard
Another less obvious difference is Google Cloud Search. Business Starter does not include the same level of Cloud Search availability, while Business Standard and Business Plus do. Cloud Search is designed to help users search across information stored in Google Workspace, which becomes useful when your organization has accumulated a large amount of information and people start asking "Was that document in Drive?" or "Where did we save that file?"
For very small businesses, Cloud Search may not be a major selling point. As the amount of internal information grows, however, centralized search becomes more valuable.
14. SAML App Auto-Provisioning Is Different Too
This one is more relevant to administrators. Business Standard provides more generous support for automatic provisioning of SAML applications. If your company uses a large number of third-party SaaS products, automated user provisioning can reduce administrative work as employees join and leave, and as accounts need to be created or access revoked.
For many small businesses, this will not be the feature that determines which Workspace plan they choose. But it is another example of how Standard includes more than additional storage. See our Admin Console basics guide for more on managing users and access.
15. Some Services Do Not Change Much on Business Standard
After reading all of this, you might think, "So everything becomes a premium version when I upgrade to Standard?" Not quite. A number of Google Workspace services and core features remain broadly similar between Starter and Standard, including Google Keep, Google Tasks, Google Sites, Google Groups, AppSheet Core, Colab, Google Workspace Studio, basic Gmail functionality, standard editing in Docs, Sheets and Slides, basic Drive file sharing, basic Google Meet, basic Google Calendar functionality, and Gemini in Chrome.
In other words, Business Standard does not upgrade every Google product equally. The biggest differences are concentrated around AI, storage, meetings, collaboration, and administration. That is the more useful way to think about the plans.
16. Some Features Still Require Business Plus
Business Standard is not the highest Business tier. There are still features that require Business Plus. One of the best-known examples is Google Vault, which is designed for data retention, governance and eDiscovery across services such as Gmail, Google Chat, and Google Drive. It is especially relevant to organizations with compliance or legal data-retention requirements. Business Starter and Business Standard do not include the same Vault capabilities available with Business Plus.
That gives the plans a fairly clear positioning: Starter for core business productivity, Standard for more storage, collaboration and AI, and Plus for organizations that also need stronger governance and security. For many small and midsize businesses that mainly want to use Gmail, Drive, Meet, Gemini, Notebook, Docs and Sheets, Business Standard is arguably the most balanced option.
Business Starter or Business Standard: Which One Is Right for You?
Business Starter Is Probably Enough If...
Business Starter is not a bad plan. In fact, it can be the most sensible choice if you mainly need Gmail with your own business domain, you do not store large amounts of data in Drive, you rarely use online meetings, you use Gemini only occasionally, you do not need hundreds of sources in Gemini Notebook, and you do not plan to use AI heavily in day-to-day work. For a small business that simply wants professional email and the basic Google productivity suite, Starter can offer excellent value.
Business Standard Makes More Sense If...
Business Standard becomes much more attractive if any of the following apply:
- You use Gemini every day: Higher usage limits, Deep Research and advanced AI capabilities make a real difference.
- You use Gemini Notebook seriously: Going from 50 sources to 300 sources per notebook is a major upgrade.
- Google Drive is central to your business: Thirty gigabytes can become restrictive surprisingly quickly.
- You regularly use Google Meet: Recording and AI-generated meeting notes can be valuable productivity features.
- You want Gemini inside Docs and Sheets: Standard brings much deeper AI integration into everyday productivity tools.
- You want AI to become part of your normal workflow: In 2026, much of the value of Business Standard comes from the AI capabilities included across the Google Workspace ecosystem.
The Real Value of Business Standard: Multiple Google Services Improve at Once
A few years ago, the difference between Starter and Standard could easily be summarized as "more storage and better Google Meet." That is no longer the full story. As Google has integrated Gemini throughout Workspace, upgrading to Business Standard now improves AI capabilities across several services at the same time.
If you only look at Gemini, you might think "Starter already has Gemini, so that should be enough." If you only look at Gemini Notebook, "Fifty sources might be enough." If you only look at Google Meet, "I will never need 150 participants." Each individual difference may seem optional.
But Business Standard upgrades several services together — Gemini, Gemini Notebook, Docs, Sheets, Drive, Meet, Chat, Calendar, Gmail, and Vids. That cumulative improvement is what makes Business Standard much more interesting than it first appears.
Gemini Notebook (NotebookLM) Alone Can Be a Strong Reason to Choose Standard
Of all the differences I researched, Gemini Notebook stood out the most to me. Business Starter allows 50 sources per notebook; Business Standard allows 300. Notebook limits also increase from 100 to 500. Chat usage increases from 50 per day to 500 per day. And Deep Research goes from very limited monthly usage to much more generous daily access. This is not simply a small increase in limits — if you regularly work with large collections of documents, Business Standard can fundamentally change how useful Gemini Notebook is in practice.
Google frequently changes the availability, limits and naming of Gemini, Gemini Notebook, Google Vids and other AI features. Google may also adjust how usage is calculated depending on factors such as the model being used, prompt complexity, computational resources required, and product availability. So when this article says that a particular plan includes a specific number of prompts or generations, that should be understood as the limit as of August 2026, not a permanent guarantee. If AI usage limits are important to your purchasing decision, check Google's official Gemini Notebook FAQ before subscribing.
Conclusion: Business Standard Is Not Just the "2 TB Plan"
When comparing Google Workspace Business Starter and Business Standard, the most obvious difference is still 30 GB vs 2 TB of storage. But in 2026, choosing a plan based on storage alone means overlooking a large part of what Business Standard actually includes.
Depending on current availability and usage limits, Business Standard can provide higher Gemini limits, higher-level Gemini Notebook access, 50 → 300 sources per notebook, Gemini in Google Docs, Gemini and AI functions in Google Sheets, Gemini in Google Drive, Google Meet recording, AI-generated meeting notes, AI summaries in Google Chat, additional scheduling assistance, more Gmail productivity features, higher Google Vids AI generation limits, and 30 GB → 2 TB of storage.
At the same time, services such as Google Keep, Tasks, Sites, AppSheet Core, Colab and the basic editing functionality of Docs, Sheets and Slides do not suddenly become completely different products when you upgrade.
If you mainly need business email and basic file sharing, Business Starter may be enough. If you want Google Workspace and Gemini to become a central part of your day-to-day work, Business Standard is much more compelling.
And if you already subscribe to Business Standard, I especially recommend opening Gemini Notebook (NotebookLM) and checking what your account can do. You may discover that features such as 300 sources per notebook and much higher AI usage limits were already included in the plan you have been paying for.
Google Workspace now includes so many services that it is surprisingly difficult to keep track of everything included in each subscription. If you are already paying for Business Standard, it is worth exploring Gemini, Gemini Notebook, Meet, Docs, Sheets and the rest of the Workspace ecosystem instead of using the plan only for Gmail and extra storage.
